Using Excel to import documents

Aico's staging service supports the ability to import documents through the API via Excel.  Whilst the primary use for this functionality is to test the Client configuration (mappings etc.). It is possible for the customer to upload their documents via Excel.  Note that each SINGLE Excel upload is considered a batch i.e. uploading the excel opens the batch and then closes it for the staging service to start processing the documents it contains.

 

  1. Open your staging client and from the Actions drop down select Download batch template.

  2. The downloaded excel will look as below.

  

The headers are on the left side (1) and the row(s) on the right (2). If you click on the name of a header (3) or row the you can see the mapping in the name box (4).
  

  1. The data is added to the Excel as follows:

    1. The document headers and rows are connected using a shared id (1) which you can freely select (but must be unique within the Excel).
    2. On the first row of your shared id you set the header values (2).
    3. You can also use this first row to set the values of the first row in the Aico document.
    4. Subsequent rows in the document are then added using the shared id (3).
      1. Note that any header data included on any subsequent row in the Excel will be ignored.
  2. Once you have completed your Excel go back to the Action dropdown in the Client and select Upload batch.
      
  1. You can then select your Excel file and it will be uploaded.

 

  1. You will first see the batch status move from open to closed and once the staging service has processed the file the documents are then created in Aico.
