Add user accounts

Each Aico user needs a user account to be able to use the system. The user is recognised with their account name when they log in and when roles are assigned to them.
As a system administrator, you can view and manage all user accounts in your system.
Add user accounts
To add a new user, follow the steps below:
- On the Users tab, click New User.
- In the New User view, fill out the following data:
Account Name: Name of the user account (for example, "firstname.lastname"). If you use Active Directory authentication, you can use this field to search for users based on their name or user account.
Full Name: Full name of the user (first name - last name). This is the name that is displayed in the User interface of Aico.
Email: User's e-mail address.
External ID: An external ID, if used by the company.
Date Input Format: the default format is "ddMMyy", but you can also use "dd.MM.yy".
Active: If you select Yes, the user can log into the system and be assigned tasks in the workflow.
If you select No, the user becomes inactive and can no longer log in.- Set up to 5 User attributes. An attribute could be that the User is an employee of an outsourced service provider or a member of a particular team.
- Press Save
- Once saved it is then possible to set Limit to own journals/requests: If you select Yes, the User can only see Aico documents which the User has created or has been sent to them as part of the workflow. Note: Only individual Users NOT User groups can be limited to their own journals/requests.Note: To avoid breaking completed approval workflows, users can never be completely removed from the system. They should only be made inactive.Tip: To view all user accounts (active and inactive), click Show all in the left hand panel below the Search box.
- Once saved it is then possible to set Limit to own journals/requests: If you select Yes, the User can only see Aico documents which the User has created or has been sent to them as part of the workflow.
